Scoring Systems overview
Scoring Systems can be used in two areas in OpenBlend:
1. When closing an Objective i.e. Achieved, Not Achieved etc
2. As a answer to a specific question as part of an Evaluate Review i.e. Rate your Performance on a 1-5 scale
You do not have to use Scoring Systems solely in the sense of a rating or score as part of a more formal evaluation. You can design the scoring systems to suit your culture, and your performance management processes. We have some customer, for example, that use the scoring systems to display a list of training opportunities that can then be picked from as a part of the review.
You will need to create a Scoring System for any questions in your Evaluate Cycles which require a selection of some kind, this could even be as simple as Yes/No.
How to set up a scoring system for Evaluate
1. Navigate to Admin area in the left-hand navigation and click on 'Scoring Systems'
2. Click '+Add'. A pop up will appear, and you'll be prompted to provide a title, and confirm the number of scoring systems you would like. Then click 'Add'
3. Your new system will then appear at the top of the list of the main page, ready for you to add your detail
4. Click on the bullet list icon to set up your scoring system options
5. You can rename each of your options and provide a description. Remember to click 'Save'
6. You can also preview your scoring system at any time by selecting 'Preview scoring guide' within your scoring system
Forms overview
Once you are happy with your scoring systems you can now add them to your Evaluate cycles, via 'Forms' (formerly known as Review Templates). You can do this in two ways:
1. Create a form in the 'Forms' section of your Admin left-hand navigation, and load into your Evaluate cycle later
2. Within the Evaluate cycle by either loading (and editing) an existing form or creating a new one
We will explain how to do both below.
Creating a form under the 'Forms' section:
1.Go to Forms and click on '+ Add Regular Form'
2. Fill out the details of the form (Name, question title, question description, chosen scoring system, and who the question is available to). When adding your scoring system, simply click on the dropdown and select the pre-defined scoring system you would like to use.
As you add more questions, you can change the order of the questions by clicking on 'Move up' or 'Move down', as well as delete.
Remember to click 'Save' when you are done, and you can then load your form into your Evaluate cycle later.
When creating your form, you will see two buttons to create questions - ' +Add Summary Question' and '+ Add Questions'
Although there is not a visible difference between a Summary Question and a Standard Question, using the Summary Question for your final rating is recommended if you would like to report on the results of the cycle or if you are using the API to extract your data, then you can target this question type to pull the final rating. Please note that you can only have one Summary Question per cycle.
Creating a form within an Evaluate cycle:
1. As you create your Evaluate Cycle, on the second tab you will be prompted to add a form
2. You can either load a form you have previously created (as seen above), or you can choose to create a new form
3. Forms in Evaluate Cycles are exactly the same as in the Forms tab, they just have a slightly different layout. Follow the steps above and click 'Save and continue' if you are ready to add your participants
You can also click 'Save and close' if you would like to save your progress, but are not yet ready to add participants.
