Summary 


Evaluate is a simple, yet highly effective and supportive way of evaluating performance at certain points throughout the year, for both a manager and an employee. 


Evaluate is a three or four stage process: 


  1. An employee completes their self-evaluation
  2. A manager completes their evaluation
    1. If an organisation completes an internal, and formal, review (Calibration) of all evaluations before 1:1s are held then this stage happens after the Manager has submitted.
  3. Both meet to discuss the evaluation in a 1:1 


We recommend that managers allow their teams to complete their self-evaluation, before their complete their manager evaluations, as this gives them time to review the employee's comments, before submitting their manager review ahead of the 1:1. 


 

  

The Evaluate process 



1. Employee completes their self-evaluation

 

You can access Evaluate via the email notification you receive when an evaluation cycle has started, or click on 'Evaluate' in the left-hand navigation. When you have clicked on the Evaluate module, you will be presented with a complete list of any Evaluate Cycles you have been added to.


Once you have completed your self-evaluation, at the bottom of the page click the "Send to manager" button. This will then finalise your review and notify your manager that you have completed your self-evaluation.

2. Manager completes the manager evaluation

 

You can access Evaluate via the email notification you receive when an evaluation cycle has started, or click on 'Evaluate' in the left-hand navigation. When clicking on ‘For Myself’ you will be taken to self-evaluations you need to complete (for you). 'For others' will guide you to completing evaluations for direct reports. 


Click on the direct report’s name to access the questions, which are structured with either comments only or comments and a drop-down selection. You are also provided with some “Reflection tips” to help you with your evaluation.


Repeat this process for each of your direct reports until you have completed all your manager evaluations. Once you have completed your manager evaluation, click the "Submit" button and this will then finalise your review.

3. Discussing an Evaluate 1:1 

  

Once a manager and their direct report have submitted their written reviews, it will be moved to the 'Ready to Discuss' status (or 'Awaiting Calibration' if Calibration is being used). Once the Calibration process is complete the status will show as 'Calibrated for Discussion'). When managers initially submit their review they will be prompted to book a 1:1 with their direct report.


If a manager chooses not to book a 1:1 at this stage, they can begin a 1:1 when they are ready by navigating to the Evaluate menu in the left-hand navigation. TYhey will then need to click 'Continue' on the Cycle that they wish to discuss, and then click on the direct report whom you wish to have the 1:1 with and you will have two options

from the pop-up: 


  1. To 'Discuss in a 1:1' 
  2. to 'View on my own'.


If you are ready to discuss, click on that option, and a 1:1 will be started immediately.


If you have not already prepared an agenda you will be asked to select your Focus for the 1:1. You should select "Evaluate 1:1'. You do not need to add anything to the agenda from here as the Completed Cycle (to be discussed), will

automatically be added. This will be a direct reports' first opportunity to review their managers evaluation comments, alongside their own. 


Please note - in order for a Talent to be able to see the Manager comments during the 1:1, the Manager MUST be the user to share their screen. After the 1:1 has been ended, and the Evaluation has been marked as completed during the 1:1, the Talent and Manager will both be able to see all comments by viewing historic Evaluate cycles in the Evaluate page.



Notifications 


OpenBlend will automatically send out reminder emails to both the manager and direct report if they have not completed their reviews in Evaluate. The timings of these are: 


  • 1 week before the due date
     
  • On the due date
     
  • 1 week before the end date
     
  • On the end date

 

Managers will also receive a notification as each of their direct reports completes their self-evaluation.
